A workspace is where you manage a business or client. Each workspace has its own locations, credits, team members, subscription, and billing details.
Account vs Workspace
Your account contains your personal login details, including your name, email address, profile photo, and password. You only need one Ranksphere account.

Your account can be added to multiple workspaces. For example, an agency can create a separate workspace for each client. You can move between the workspaces you have access to using the workspace switcher in the sidebar.
Update your profile
Go to Settings → Profile to update your personal information. These details belong to your account and can be changed at any time, regardless of your workspace role.
You can update your:
- First and last name
- Email address
- Phone number
- Job role
- Profile photo
Change your email address
Enter your new email address and we’ll send a verification code to it. Add the code in Ranksphere to confirm the change. You will remain signed in while completing the verification.
Change your password
To create a new password, sign out of Ranksphere and select Forgot password on the sign-in page. We’ll email you a link to reset it.
Delete your account
To permanently delete your personal account, contact [support@ranksphere.io](mailto:support@ranksphere.io).
Workspace Owners can delete a workspace directly from the workspace settings. This permanently removes the workspace and all data connected to it.
Update your workspace details
Workspace Owners and Admins can update workspace details from Settings → Account. These settings are not visible to Members or Guests.
From here, you can manage:
- Workspace name shown in the sidebar and workspace switcher
- Company name, industry, and website
- Country
- Time zone and time format
- Workspace logo in PNG or JPG format
Set your workspace time zone
Choose the time zone where the business is based. Ranksphere will use this time for scheduled scans, Google Posts, and report dates across the workspace.
Create or switch workspaces
Use the workspace switcher at the top of the sidebar to move between the workspaces you have access to. You can also select Create workspace from the same menu.
Your first workspace includes a 14-day free trial. Any additional workspace requires its own paid plan because its locations, credits, settings, and team members are managed separately.
When creating another workspace, you will be asked to choose a plan and complete payment first. The workspace will only be created once the payment is successful. If you leave the checkout before paying, no workspace will be created and you will not be charged.
Your 14-day free trial
Your first workspace includes a 14-day free trial. You can use all available features during the trial, and no payment details are required to get started.
If you do not choose a paid plan before the trial ends, the workspace will be locked. Your data will be kept for 90 days, and you can regain access at any time during this period by upgrading to a paid plan.
The free trial only applies to your first workspace. Any additional workspaces require a paid plan from the start.
Workspace limits by plan
The plan sets how many locations and team seats a workspace has:

On a paid plan you can add more locations or seats. See Billing, Plans & Add-ons. Roles and seats are covered in Users, Roles & Permissions.
Roles and permissions
- Your profile is always yours. Any role can edit their own name, email, photo, and details.
- Workspace details (name, logo, time zone, and so on) can only be changed by an Owner or Admin. Members and Guests can see them but not edit.
- Creating a workspace can be done by anyone with an account, but remember only your first one is free.
Manage your account and workspace
Update your own details
- Go to Settings → Profile, make your changes, and save.
Rename your workspace
- Go to Settings → Account, change the Workspace name, and save.
Change the time zone
- Go to Settings → Account, pick your Time Zone, and save.
Upload your logo
- Go to Settings → Account, and under Your Logo upload an image (PNG or JPG). It saves right away.
Switch to another workspace
- Click the workspace switcher at the top of the sidebar and choose the one you want.
Add another workspace
- Click the workspace switcher, choose Create workspace, then follow the steps to pick a plan.
Frequently Asked Questions
I can't edit my workspace settings. Why?
Workspace settings are only available to Owners and Admins. Members and Guests cannot view or update settings such as the workspace name, logo, and time zone.
Where do I change my password?
Sign out, click Forgot password on the sign-in page, and use the link we email you. There's no password field in Settings.
Can I create more than one free workspace?
No. You get one free workspace. Any others run on their own paid plan.
My trial ended and I'm locked out. Did I lose my data?
No. Your workspace data will be kept for 90 days after your trial ends. Choose a paid plan during this period to restore access and continue where you left off.
If you do not upgrade within 90 days, your workspace and its data will be permanently deleted.
How do I delete or leave a workspace?
Workspace Owners cannot leave their own workspace. They can only delete it permanently from the workspace settings.
Deleting a workspace also permanently removes all data connected to it, including locations, reports, settings, and other saved information.
Members, Admins, and Guests can leave a workspace without deleting its data.
Can I transfer my workspace to a new owner?
Yes. Contact our support team and provide the details of the current and new workspace owners.
