Billing, Plans & Add-ons
This guide explains the plans and their prices, what's included, how to upgrade or downgrade, the add-ons you can buy, and where to find your card and invoices.
How to manage your billing in Ranksphere
You can manage your subscription, buy add-ons, update your payment details, and view invoices from Settings → Billing.
The Billing page has four tabs:
| Tab | What you can do |
| Plans | Compare plans, upgrade or downgrade, and switch between monthly and yearly billing. |
| Add-ons | Buy extra locations, team seats, credits, and usage packs. |
| Billing | Check your current subscription, payment details, and next billing date. You can also cancel or resume your subscription here. |
| Invoices | View, download, and receive invoices by email. |
Only the Workspace Owner can access Billing. Admins, Members, and Guests cannot view or manage billing, and this permission cannot be given to them.
For more information about workspace access, see Users, Roles & Permissions.
How to choose a plan
Go to Settings → Billing → Plans to see the available Ranksphere plans.
Each plan shows its monthly and yearly prices, along with the features and usage limits included.
You can compare:
- Business locations
- Team members
- Scan credits and AI credits
- Saved reports
- Schema builds
- Other features included in each plan
You can also compare plans on the Ranksphere Pricing page.
What's included in different plans?
Some features are only available on certain plans.
| Feature | Available plans |
| Post approvals | Starter, Growth, and Agency |
| White-labeled reports | Growth and Agency |
| Custom report domain | Growth and Agency |
| 50% rollover of unused scan and AI credits | Growth and Agency |
| Enterprise options | Contact Ranksphere for larger teams or additional requirements |
If you need an Enterprise plan, select Contact us from the Plans tab to discuss your requirements.
How does the 14-day free trial work?
Your first Ranksphere workspace comes with a 14-day free trial.
You don't need to enter payment details, and your trial won't automatically become a paid subscription.
If you don't choose a paid plan before the trial ends, your workspace will be locked.
Your data will remain saved for 90 days, giving you time to choose a paid plan and regain access.
For more information, see Account & Workspaces.
Monthly and yearly billing
You can choose whether to pay monthly or yearly from the Plans tab.
| Billing option | How it works |
| Monthly | Your subscription is charged once every month. |
| Yearly | Your subscription is charged once a year, with a lower monthly equivalent. |
With yearly billing, you pay for the full year rather than making monthly payments.
Ranksphere shows the total price before you confirm the change.
How to switch to yearly billing
- Go to Settings → Billing → Plans.
- Switch the pricing toggle from Monthly to Yearly.
- Find your current plan and select the option to move to yearly billing.
- Review the price and confirm.
How to upgrade or downgrade your plan
You can change your subscription from Settings → Billing → Plans.
Upgrades and downgrades work differently, especially when it comes to billing and when the new plan takes effect.
| Upgrade | Downgrade | |
| When does it take effect? | Immediately | On your next billing date |
| When are you charged? | A prorated amount is charged immediately | The new plan takes effect on your next billing date |
| When do your plan limits change? | As soon as the upgrade is complete | At the end of your billing cycle |
| Can you keep using your current plan until the next billing date? | Your new plan starts immediately | Yes |
How to upgrade your plan
If you need more locations, team members, credits, or features, you can upgrade to a higher plan.
- Go to Settings → Billing → Plans.
- Choose the plan you want.
- Review the price.
- Confirm the upgrade.
Your new plan becomes available immediately.
How are upgrade charges calculated?
If you upgrade partway through your billing period, you'll be charged a prorated amount.
This is the difference between your old and new plan prices for the time remaining in your current billing period.
From your next billing date, you'll pay the full price of your new plan.
Once the upgrade is complete, your new plan limits become available, including additional locations, team seats, credits, and other included features.
How to downgrade your plan
If you want to move to a smaller plan:
- Go to Settings → Billing → Plans.
- Select the lower plan.
- Review the changes.
- Confirm the downgrade.
Your downgrade will take effect on your next billing date.
Until then, you can continue using your current plan and its limits.
What happens to my locations if I downgrade?
If your new plan allows fewer locations than you currently have, Ranksphere will automatically pause the most recently added locations when the downgrade takes effect.
Your paused locations will not be deleted. Their existing data will remain saved.
You can reactivate those locations later by upgrading your plan or making room within your current location limit.
For more information about paused locations, see Locations in Ranksphere.
What are add-ons?
Add-ons let you increase certain limits without moving to a higher subscription plan.
For example, if you need one more location or want to invite another team member, you can purchase an add-on instead of upgrading your plan.
Go to Settings → Billing → Add-ons to see the available options.
There are two types of add-ons:
| Add-on type | How it works |
| Recurring add-ons | Extra locations and team seats added to your subscription. They're billed with your plan. |
| One-time usage packs | Additional scan credits, AI credits, saved reports, schema builds, or website crawl pages. |
Recurring add-ons
Recurring add-ons are useful when you need more locations or team members on an ongoing basis.
Extra business locations
You can purchase additional locations on Starter, Growth, and Agency plans.
| Plan | Price per extra location |
| Single Business | Not available |
| Starter | $12/month |
| Growth | $9/month |
| Agency | $6/month |
Each extra location gives you another business location with its own scans, rankings, and profile.
Note: The Single Business plan supports only one location. If you need more, you'll need to upgrade to Starter or a higher plan.
Extra team seats
You can also add more team members to your workspace.
| Add-on | Price | Availability |
| Extra team seat | $5/month per seat | All paid plans |
Each extra seat allows another team member to join your workspace.
See Users, Roles & Permissions for more information about team seats and access.
How to add extra locations or team members
- Go to Settings → Billing → Add-ons.
- Choose the extra locations or team seats you need.
- Select the quantity.
- Click Add to plan.
Your add-ons become available immediately.
How are recurring add-ons billed?
When you add an extra location or team seat, you're charged a prorated amount for the remaining time in your current billing period.
The regular add-on price is then included in your future subscription payments.
You don't need to complete a separate checkout.
If you're on a yearly plan, recurring add-ons are billed yearly. The first charge is prorated to your subscription renewal date.
How to buy additional credits and usage packs
If you need more credits or usage than your subscription includes, you can purchase additional packs.
Go to Settings → Billing → Add-ons and find the Credit packs section.
You can also purchase packs from Settings → Credit Usage.
Available credit and usage packs
| Pack | Price | Amount |
| Scan credits | $0.005 per credit | Choose your amount, minimum 1,000 credits |
| AI credits | $0.005 per credit | Choose your amount, minimum 1,000 credits |
| Saved reports | $8 | 50 reports |
| Schema builds | $4 | 10 builds |
| Website crawl pages | $5 | 500 pages |
For example:
- 5,000 scan credits cost $25.
- 1,000 AI credits cost $5.
These are one-time purchases. They won't be added as recurring charges to your subscription.
When are purchased credits used?
Ranksphere uses the credits or allowances included with your plan first.
Once you've used your included allowance, Ranksphere starts using your purchased packs.
For example, if you still have scan credits available from your plan, those credits will be used before your purchased scan credit pack.
The same rule applies to saved reports, schema builds, and website crawl pages.
For more information about credit usage, see:
How long do purchased credits and packs last?
Purchased packs are valid for 30 days from the purchase date.
This means their expiry is based on when you bought them, not your regular subscription billing date.
What happens to unused credits after 30 days depends on your plan and the type of pack.
Scan and AI credit packs
| Plan | What happens to unused purchased scan and AI credits? |
| Single Business | Unused credits expire after 30 days. |
| Starter | Unused credits expire after 30 days. |
| Growth | 50% of the unused balance carries over to the next 30-day period. |
| Agency | 50% of the unused balance carries over to the next 30-day period. |
On Growth and Agency, this rollover continues into later 30-day periods. Each time, 50% of the remaining unused balance carries forward.
For example, if you have 1,000 unused scan credits from a purchased pack at the end of its first 30 days on Growth:
- 500 credits carry over into the next 30-day period.
- If those 500 credits remain unused, 250 carry over into the following period.
On Single Business and Starter, unused purchased scan and AI credits expire after 30 days.
Saved reports, schema builds, and website crawl pages
These packs have the same expiry rule on every plan.
| Pack | Valid for | Rollover |
| Saved reports | 30 days | No |
| Schema builds | 30 days | No |
| Website crawl pages | 30 days | No |
Unused reports, schema builds, and website crawl pages from purchased packs expire after 30 days, even on Growth and Agency plans.
Saved reports and schema builds
Each Ranksphere plan includes a monthly allowance for saved reports and schema builds.
These allowances reset at the beginning of each billing period.
If you've used your included allowance, you can purchase an additional pack from the Add-ons tab.
| Allowance | Available extra pack |
| Saved reports | 50 additional saved reports for $8 |
| Schema builds | 10 additional schema builds for $4 |
Ranksphere will use your included monthly allowance before using the additional pack.
You can check how much you have left from Settings → Credit Usage.
For more information, see Report, Schema & Crawl Credits.
How to view or update your payment details
Go to Settings → Billing → Billing to manage your subscription and payment information.
You'll see:
| Information | What it shows |
| Current plan | Your active subscription |
| Subscription amount | The amount you pay |
| Next billing date | When your next payment is due |
| Payment card | The card saved for your subscription |
How to update your payment card
- Go to Settings → Billing → Billing.
- Select Manage or Update card.
- Follow the instructions in Stripe's secure billing portal.
From the Stripe billing portal, you can update your payment details, view invoices, and manage your subscription.
How to view and download invoices
You can find your invoices under Settings → Billing → Invoices.
Your payments are listed with the most recent first.
From this page, you can:
- Open an invoice to view its details.
- Download a copy of an invoice.
- Choose to receive future invoices by email.
How to receive invoices by email
- Go to Settings → Billing → Invoices.
- Find Receive invoices by email.
- Turn on the option.
How to cancel your subscription
You can cancel your Ranksphere subscription at any time.
There are three ways to do this:
| Cancellation method | What to do |
| Cancel from Billing (recommended) | Go to Settings → Billing → Billing and select Cancel plan under Renewal information. Confirm your cancellation. |
| Change to Free | Go to Settings → Billing → Plans and change your plan to Free. |
| Stripe billing portal | Go to Settings → Billing → Billing, select Manage, and cancel your subscription through Stripe. |
The simplest option is to use Cancel plan from the Billing tab.
What happens after cancellation?
Your paid subscription stays active until the end of your current billing period.
You can continue using your paid plan until that date, and you won't be charged again after it ends.
When your paid subscription ends, the workspace is locked, you'll need to choose a plan to continue using it. Your data isn't deleted: it's kept for 90 days, so you can pick a plan and pick up where you left off. See Account & Workspaces.
Can I undo my cancellation?
Yes. If you change your mind before your current billing period ends, you can resume your subscription.
- Go to Settings → Billing → Billing.
- Select Resume subscription.
This lets you keep your subscription instead of allowing the scheduled cancellation to take effect.
Who can manage billing?
Only the Workspace Owner can access Billing.
| Workspace role | Can view Billing? | Can manage plans, add-ons, and payments? |
| Owner | Yes | Yes |
| Admin | No | No |
| Member | No | No |
| Guest | No | No |
Admins, Members, and Guests cannot access billing information or make subscription changes.
Billing access cannot be granted to these roles through Settings → Permissions.
