Smart Tasks

This guide explains where Smart Tasks come from, how priorities work and how to manage them. Smart Tasks help you keep track of work that may be needed for each location. They can highlight updates to your business profile, unanswered reviews, ranking opportunities and other areas worth checking.

How Smart Tasks work

Ranksphere creates Smart Tasks using information available for each location.

Open the Smart Tasks tab inside a location to see your current tasks. The number beside the tab shows how many are still open.

Each task explains what was found, why it may matter and what you can do next.

Smart Tasks are recommendations only. They do not make changes to your business information automatically.

Where Smart Tasks come from

Smart Tasks can be created from:

  • Google Business Profile — missing or incomplete business information and other profile details that may need checking
  • Local rank tracking — ranking gaps or keywords that may need attention
  • Reviews — reviews that have not received a response
  • Competitor rankings — areas where competitors are ranking above the business
  • Location setup — steps such as adding keywords, reviewing business information or checking reviews

Tasks may change as new information becomes available or after a new ranking scan is completed.

Task priority

Each Smart Task has a priority to help you decide what to review first.

Critical — Review as soon as possible.High — An important item that should be checked.Medium — Worth reviewing when you have time.Low — A smaller improvement or suggestion to consider.

Higher-priority tasks appear first in your task list.

What you’ll see inside a task

Open a Smart Task to see more information about the recommendation.

Depending on the task, you may see why it was created, the steps to complete it, the location or keyword it relates to, an estimated time to complete it and a due date when applicable.

Review the details before making any changes to make sure the recommendation is relevant to the business.

Manage your tasks

You can update a task as you work through it:

  • Complete it when the work is finished
  • Snooze it for seven days if you want to return to it later
  • Ignore it if the recommendation does not apply

Some tasks may be completed automatically when Ranksphere detects that the issue has been resolved. For example, a task for an unanswered review may close after a response is added.

Use the filters at the top of the page to view To Do, Now, Later, Completed or Ignored tasks.

Your highest-priority open tasks may also appear on the location Overview page.

Who can access Smart Tasks

Workspace Owners, Admins and Members can view and manage Smart Tasks for locations they have access to.

Ranksphere Smart Tasks Management

Guests do not have access to Smart Tasks by default. A Workspace Owner or Admin can change Guest access from Settings → Permissions.

Frequently Asked Questions

Do I need to create tasks myself?

No. Ranksphere creates Smart Tasks automatically when it identifies something that may need attention for a location.

Why did a Smart Task disappear?

The task may have been completed automatically after Ranksphere detected that the issue was resolved.

Check the Completed section if you no longer see it in your open tasks.

What if a Smart Task does not apply?

Open the task and select Ignore. It will move to the Ignored section and will no longer appear in your active task list.

Should I review a Smart Task before making changes?

Yes. Smart Tasks are recommendations based on the information available for the location. Review the task and the business details before making any changes.

Why can’t a Guest see Smart Tasks?

Smart Tasks are hidden from Guests by default. A Workspace Owner or Admin can change their access from Settings → Permissions.
