Google Posts
This guide covers post types, scheduling, review and approval, team comments, and publishing. Plan Google Posts, prepare content with your team, and keep upcoming updates organized in one place.
What are Google Posts?
Google Posts are updates that appear on a business’s Google Business Profile. They can be used to share news, promotions, events, services, and other timely information with customers.
Ranksphere supports three post types:
- Update — Share business news, announcements, helpful information, photos, or videos.
- Offer — Promote a special offer with optional start and end dates.
- Event — Share an event, workshop, sale, or talk with its date and time.
Depending on the post type, you can add a description, image or video, and a call-to-action button such as Book, Order online, Learn more, or Sign up.
Create a Google Post
Open Google Posts from the sidebar or from inside a location, then select Add Post.
Choose the post type and complete the relevant details. You can write the post yourself or use the writing tools to prepare a first draft.
Available options include:
- Generate a new draft
- Rewrite existing content
- Shorten the text
- Make the wording warmer
Each writing action uses 10 AI credits. The generated content remains a draft, so you can review and edit it before moving it to the next stage.
Schedule a post
You can choose a date and time for each post or leave it as a draft until it is ready.
Scheduled times follow the workspace time zone. For the correct publishing schedule, set the workspace to the time zone where the business is based.
You can update this from:
Settings → Account → Time zone
Scheduling currently keeps the post organized inside Ranksphere. Direct publishing to Google is coming soon.
View and organize your posts
Ranksphere gives you three ways to manage your posts.
Board view
Board view groups posts by their current stage:
- Draft
- Review
- Approval
- Scheduled
- Published
You can move a post between columns as it progresses.
These stages help your team organize the work. They do not currently change anything on the live Google Business Profile.
Calendar view
Calendar view shows posts by day, week, or month. Use it to review your content schedule and spot any gaps or overlapping posts.
List view
List view gives you a simple overview of your posts and their current status.
Review and approve posts
Posts can move through a review and approval process before they are scheduled.
- Review is used for an internal content check.
- Approval is used for final sign-off, often by a client or senior team member.
You can name reviewers and approvers so everyone knows who should check the post. These assignments are there to keep responsibilities clear and do not prevent other authorised users from moving the post forward.
Workspace Owners and Admins can set default reviewers and approvers from the Workflow option on the Google Posts page. New posts will then use those defaults automatically.
Work with your team
Each post includes an activity area where users can leave comments, mention team members, and discuss changes.
Guests can also leave comments on posts shared with them. This allows clients to provide feedback without giving them permission to create, edit, or schedule posts.
Comments and activity remain attached to the post, making it easier to keep feedback and revisions in one place.
Publishing to Google
You can currently use Ranksphere to:
- Create and edit posts
- Add images and post details
- Collect comments and feedback
- Move posts through review and approval
- Organize posts on the board and calendar
- Set a planned publishing date and time
Posts are not yet published directly to Google. Direct publishing is coming soon.
Until then, completed posts remain saved in Ranksphere and can be copied to the business’s Google Business Profile when they are ready.
Google Post access
Workspace Owners and Admins can:
- View posts
- Create and edit posts
- Schedule posts
- Move posts through the workflow
- Leave comments
- Set default reviewers and approvers
Members can:
- View posts for locations shared with them
- Create and edit posts
- Schedule posts
- Move posts through the workflow
- Leave comments
Guests can:
- View posts shared with them
- Leave comments
Guests cannot create, edit, or schedule posts.
Frequently Asked Questions
Do scheduled posts publish to Google automatically?
Not yet. The scheduled date and time are currently used to organize the post inside Ranksphere.
Direct publishing to Google is coming soon. Until then, copy the completed post and publish it through the business’s Google Business Profile.
Which time zone is used for scheduled posts?
Scheduled posts use the workspace time zone.
Go to Settings → Account and choose the time zone where the business is based.
Does AI-generated content publish automatically?
No. Generated content is added to the post as a draft. You can review and edit it before scheduling or using it.
Who can review or approve a post?
Workspace Owners and Admins can choose reviewers and approvers. These assignments show who is responsible for checking the post, but they do not lock other authorised users out of the workflow.
Can a client comment without editing the post?
Yes. Add the client as a Guest and share the relevant location with them. Guests can view and comment on posts but cannot create, edit, or schedule them.
Does moving a post back to Draft remove it from Google?
No. Post stages in Ranksphere are currently used for organising your workflow and are separate from the live Google Business Profile.
Can I change a scheduled post?
Yes. Open the post, update its content, date, or time, and save your changes. Since direct publishing is not yet available, the changes only affect the version saved in Ranksphere.
