Review Reputation Management

This guide explains how Ranksphere brings in your Google reviews, how to read and filter them, how to draft replies (including with AI), and what's coming soon.

View your reviews

Open the Reviews tab inside a location to see its Google reviews.

You can review one location at a time or choose Google Reviews from the sidebar to view reviews across all locations you can access.

At the top of the page, you will see:

  • Average Google rating
  • New reviews received in the last 30 days
  • Reply rate
  • Median response time

Each review shows the reviewer’s name, star rating, date, comment, and any photos they included.

Reviews are also marked as Positive, Neutral, or Negative to help you find feedback that may need attention.

Find reviews that need a reply

Use the filters at the top of the Reviews page to narrow the list.

You can filter reviews by:

  • All
  • Unanswered
  • Positive
  • Neutral
  • Negative

You can also choose a time period:

  • Today
  • Week
  • Month
  • Year
  • All time

Use the search bar to find a review by the reviewer’s name or a word used in their comment.

Reviews that have remained unanswered for more than seven days will show a waiting badge, making them easier to find.

Refresh reviews from Google

When you first add a location, Ranksphere imports its most recent Google reviews.

To check for newer reviews or retrieve more of the location’s review history, select Refresh from Google.

Recent reviews usually appear quickly. A larger review history may take longer to load, so you can leave the page and return while the update continues in the background.

Prepare a reply

Open a review and write your response in the reply box.

You can save the response as a draft and return to it later. Drafts are stored in Ranksphere, but they are not currently published to Google.

Once direct publishing is available, you will be able to send approved replies to Google from the Reviews page.

Draft a reply with AI

Select Generate with AI to create a suggested response.

Ranksphere considers the review’s rating and comment when preparing the draft. For example, it may create a warm thank-you for a positive review or a more understanding response when the customer has raised a concern.

The draft appears in the reply box, where you can review and edit it before saving.

Direct publishing to Google

Review replies are currently saved as drafts in Ranksphere.

Direct publishing is coming soon. For now, copy your final reply and publish it through the business’s Google Business Profile.

Keep track of new and unanswered reviews

Ranksphere can notify you when a location receives a new review.

Smart Tasks may also highlight reviews that need attention, including:

  • New unanswered reviews
  • Reviews waiting several days for a response
  • An increase in lower ratings

This helps you identify which reviews should be handled first without checking every location separately.

Reviews during the free trial

The free trial shows the 10 most recent reviews for each location.

A paid plan provides access to the full review history available in Ranksphere and allows you to prepare replies for all imported reviews.

Review access by role

Workspace Owners, Admins, and Members can view reviews and prepare replies for the locations they have access to. They can also use AI credits to create reply drafts.

Guests can view reviews for shared locations but cannot write replies or use AI-assisted reply generation.

Direct publishing to Google

Replies are currently saved as drafts in Ranksphere.

Direct publishing to Google will become available once the Google Business Profile connection is supported. Until then, copy the completed reply and publish it through the business’s Google Business Profile.

Frequently Asked Questions

How do I view older reviews?

Select Refresh from Google to retrieve more of the location’s review history.

A large review history may take a few minutes to import.

Why can I only see less than 5 reviews?

The free trial includes the 5 most recent reviews for each location. Upgrade to a paid plan to access the full imported review history.

Why is my reply not showing on Google?

Replies prepared in Ranksphere are currently saved as drafts. They are not published to Google automatically.

Copy the completed response and post it through the business’s Google Business Profile.

Do I need to check for new reviews manually?

No. Ranksphere can notify you when a new review is found. Reviews that need attention may also appear as Smart Tasks.

Can I edit an AI-generated reply?

Yes. AI-generated replies are drafts. Review and edit the wording before saving or using the response.

How many AI credits does a reply use?

Generating one review reply uses 10 AI credits. Editing the draft yourself does not use additional credits.

Is there an approval process for review replies?

Review replies do not currently use an approval workflow. The review-and-approval feature applies to Google Posts.
