Reporting

Each report saves the data from the time it was created, so you can return to the same version, download it, or share it with a client later.

Report types

Ranksphere includes three report types:

Rankings report

Shows a keyword’s local ranking heatmap and compares results from two scans. It highlights changes across the selected area and includes the businesses competing for the same keyword.

You can also add AI Insights for a written summary of the results and areas that may need attention.

Citations report

Shows the location’s directory listings, citation statuses, and how closely the listing details match the business information saved in Ranksphere.

Summary report

Provides a one-page overview of the location, including visibility, local rankings, reviews, citations, and competitors.

Create a report

Open the location and go to Reports.
Select Generate report.
Choose Rankings, Citations, or Summary.
Complete the required report settings.
Review what will be included.
Select Generate report.

For a Rankings report, choose the keyword and the two scans you want to compare. You can also decide whether to include AI Insights.

Once generated, the report is saved in the location’s Reports section. You can open, download, or share it at any time.

Report exports included with each plan

Your report export allowance resets at the beginning of each billing period:

Free trial — 3 report exports
Starter — 15 report exports per month
Growth — 50 report exports per month
Agency — 100 report exports per month

A standard report uses one report export.

A Rankings report with AI Insights uses:

1 report export
100 AI credits

The report export covers the report itself. The AI credits are used to create the written insights.

You can check your remaining report exports from:

Settings → Credit Usage

Buy more report exports

When you have used your monthly allowance, you can purchase an additional pack of 50 report exports for $8.

Go to:

Settings → Billing → Add-ons

You can also move to a larger plan when you need a higher monthly allowance. See Billing, Plans & Add-ons.

Open a saved report and turn on Enable share link.

Anyone with the link can view the report without signing in to Ranksphere. Shared reports are view-only, so the recipient cannot edit the report or access the rest of your workspace.

You can turn off the share link at any time. Once disabled, the previous link will no longer work.

Shared report pages are not indexed by search engines. See White-label & Custom Domains.

You can also share an individual keyword’s live heatmap from its ranking results.

The heatmap has its own share link, separate from a generated report. This is useful when you want someone to view the latest ranking results without creating a full report.

You can revoke the heatmap link whenever access is no longer needed.

Download a report

Open the report and select Download PDF.

The PDF contains the same data saved when the report was generated, making it suitable for emailing to a client or keeping for your records.

Paid plans can include your own logo and report branding. See White-label Reports & Custom Domains for more details.

Report access

Workspace Owners and Admins can view, create, download, and share reports for every location in the workspace.

Members can do the same for locations shared with them.

Guests do not have access to reports inside the workspace by default. To share a report with a Guest or client, send them the public report link or the downloaded PDF.

Report scheduling

Automatic report scheduling is coming soon.

For now, reports must be generated manually from the location’s Reports section.

Frequently Asked Questions

Does a report with AI Insights use one of my report exports?

Yes. It uses one report export for the report and 100 AI credits for the written insights.

A report without AI Insights only uses one report export.

Which reports can include AI Insights?

AI Insights are available for Rankings reports.

Citation and Summary reports do not currently include this option.

Can I download the same report again?

Yes. Once a report is generated, it remains saved in the Reports section. You can open or download the same version again without creating a new report.

Does downloading a saved report use another export?

No. The export is counted when the report is first generated. Opening, sharing, or downloading the saved report again does not use another export.

How do I send a report to a client?

You can enable the public share link and send it to the client, or download the report as a PDF and attach it to an email.

The public link is view-only and does not require a Ranksphere account.

Can I remove access to a shared report?

Yes. Open the report and turn off its share link. The previous link will stop working immediately.

For a shared keyword heatmap, revoke its link from the ranking results.

Will a shared report appear in search results?

No. Shared reports are not indexed by search engines.
